A practical stamp workflow
Add a Received Stamp to Incoming Documents
A Received mark helps distinguish a document that has entered your workflow from one still waiting for review. Combine a clear label with the date your team intends to record.
Customize a Received stamp ↗Choose a label that describes receipt
Start with the editable Received template. Keep RECEIVED as the main line and add a short department or reference if it helps your filing process. Receipt and approval are different steps: choose the Approved template only when that is the status you want to show. Keep the wording short enough to remain legible at normal document size.
Record the intended date
A fresh Received template starts with today’s local date. Change it when the actual receipt date differs, and choose a written month, US, UK or ISO format. Saved designs retain their original dates; they do not advance automatically. Review the date every time you load a stamp. This is a graphic label entered by you, not an independently verified receipt timestamp.
Place it on the incoming PDF
Choose Add to PDF, open an unprotected file, then select a page. Try Top right or Bottom right under Page alignment, adjust Edge margin and preview the result. Avoid covering sender details, totals, page numbers and other useful information. Use Stamp opacity if a lighter mark is appropriate, or drag it to a clear area to switch to Free position.
Choose which pages need the mark
For a short intake record, the first page may be enough. Use Apply to every page or Choose specific pages when your workflow calls for more. For several documents, Batch PDFs applies the same design and date to all successful files. Review different page sizes before starting; the tool does not read a receipt date from each filename or document.
Save a reusable design and retain the original
Download the stamped PDF as a separate copy and check it before filing. Save a named design in Saved stamps for later use on the same browser, and download a design backup if you need to move devices. Keep the incoming original as well. The added image preserves the document’s existing text but does not create an audit trail or connect to a document-management system.
