A practical stamp workflow

How to Add a Stamp to a Word Document

A transparent PNG lets the page show through the empty parts of your stamp. Prepare the image first, then insert it into the document as a picture.

1. Prepare a transparent PNG

Choose a Paid, Approved or Received template and replace the sample text. Download PNG instead of taking a screenshot: the preview grid is only a transparency aid. For an existing scan, use Image to Stamp to remove the light background and trim empty edges. Keep the original artwork as a backup.

2. Insert the saved picture

In Word, use Insert > Pictures and choose your PNG. Select the picture and resize it from a corner to preserve its proportions. Start with a small mark in an empty part of the document, then inspect it at the intended reading or printing size.

3. Choose how the picture moves

In desktop Word, select the picture and open Layout Options. In Line with Text keeps the image with the paragraph. In Front of Text allows an overlay; choose Fix position on page when the mark should stay at a particular location. Word for the web offers fewer positioning options, so use the desktop app if the layout you need is unavailable.

4. Check the final document

Look for clipped edges, unreadable small text and content hidden by the stamp. Save a separate copy, then inspect its print preview or exported PDF. If you already have the finished PDF, Add Stamp to PDF lets you position the same mark without changing the Word document.

Troubleshooting a white rectangle or blurry text

A white rectangle is usually part of the uploaded image or a screenshot. Remove that background and download a new PNG. For a text stamp made in the editor, select 1920 or 3000 pixels before downloading. Increasing an existing scan’s size cannot restore detail that was missing from the original.
