A practical stamp workflow
Add a Paid Stamp to an Invoice PDF
Use a clear PAID mark to label an invoice after checking its status in your own records. The tool adds a graphic to the document and saves a new copy.
Customize a Paid stamp ↗1. Start with the Paid template
Open the Paid template and keep or edit the main label. Add a short internal reference on another line if useful. Use a dark ink that remains readable at normal document size. A stamp is a visual label: the tool does not connect to a payment provider, change invoice balances or check payment status.
2. Check the date before exporting
The fresh Paid template starts with your device’s local date. Open Add a date to choose the date appropriate to the record. A restored draft or saved library design keeps its previous date. Choose US, UK, ISO or a written month, and inspect the result before placing it on the invoice.
3. Position it on the invoice PDF
Select Add to PDF in the editor and choose the document. Preview the page and drag the stamp into a clear area, or use the horizontal and vertical controls and keyboard arrows. Adjust its width and rotation. Avoid covering the invoice number, line items, totals or payment details. The tool preserves the source page content beneath the added image.
4. Save and inspect a new copy
Choose the current page, all pages or a specific page range, then download the stamped PDF. Keep the original file. Open the downloaded copy and check the mark at normal reading size. Encrypted, certificate-signed, XFA and damaged PDFs are not supported; a protected or signed document needs an appropriate unsigned source copy for this workflow.
5. Reuse the design for future invoices
Save the layout under a recognizable name in Saved stamps and keep a design-file backup. For several invoices that need the exact same mark and date, use Batch PDFs. Check placement on different page sizes first. Different payment dates or references require separate design changes and runs; one batch does not personalize text from each invoice.
